Who can use the WorkApps Admin Tab?

Only the Admin of the Organisation Account has the access to. The first user of the organisation who converts the individual account to enterprise account by default becomes the Administrator of the Enterprise Account. He can make as many admins as required. The access of the admin can only be revoked by an admin only from Admin Tab->Employees->More Menu icon->Make OR Remove as Admin option

How to setup accounts for employees in bulk?

An admin can do this from Admin Tab ->Employees->Add Employees ->Add individual accounts or Import using an excel template for bulk

How do I ensure that the invitations sent to the employees have been accepted?

From the Admin Tab ->Employees->Search for Employee ->Enter the string as First Name + Last Name as the way it is entered in while registering the account. If the user has entered it Last name + First Name; search by the string the same way Last Name + First Name

How do I add multiple employees of my Organisation, into my WorkApps Account?

An admin can do this from Admin Tab ->Employees->Add Employees ->Download the excel template for bulk Import ->Just enter the email Ids in the first column of all the employees to be added into the WorkApps. That’s it just the Email Ids in the first column of excel file -> Upload the excel file.

The valid emails from the bulk list will get Invitations emails one by one. All of the wrong ones will be notified in the toast message on the screen.

Where can I see the changes done by other admin in my WorkApps Enterprise Account?

An admin can view the Admin Log from Admin Tab ->Log, the first tab. Following events can be tracked using the Log Sub Tab of the Admin in WorkApps:

  1. Enable/Disable Admin access of an Employee
  2. Invitations sent to the Employees of the Organisation
  3. Employee Account Lock/Un-Lock
  4. Employee Account Deactivation
  5. Organisation Account Update.
    1. Name / Website Changes
    2. Addition deletions of Departments/Sub-departments
    3. Individual Account to Enterprise Conversion

How do I filter out Log in my WorkApps Admin Account?

Go to Admin->Log->Click on the date to see the actions taken by the Admin till the selected date.

What is NOT available in WorkApps Enterprise Chat Account’s Admin account?

An admin cannot do the following settings in the Organisation account but can still be controlled by sending us a written consent to the TechSupport@workapps.com email id.

  1. Settings Updates are not reflected into the Admin -> Log Sub Tab
  2. Configuring up of bandwidth capping.
  3. Screen Sharing can be controlled at an organisation level.
  4. Prevent Copy paste from the WorkApps Chat.
  5. Image Downloads

What are the events and actions that are tracked in the Admin Log?

Following events are tracked under for an enterprise account

  1. Making and Removing of an Admin access of the employee
  2. Employee Invitations sent
  3. Updates of Office Address, Name, Departments, Sub-Departments

Can a Non Admin User Access the Admin Actions’ Log?

No! A non admin user cannot access the Admin tab and any of its sub tabs.

How do I add a new department or Sub-departments in my organisation?

An admin can do this from Admin Tab ->Departments->Click on + Button next Name column ->Enter Department Name in the Department Field and Click on Add Button. The same can be done for Sub Department but select a Department under which a Sub-department is being added. To create a new one enter Sub-Department Name in the Sub Department field with the selected Department Selected for and click on Add

Can I delete a Department OR Sub-department where employees have already marked it in their profile?

Yes you can! Beware that the entries of the employees who have already marked the given Department-Sub-Department in their profile will also be cleared under the Department or Sub-Department fields;

To delete the Department or Sub-Department, an admin can do this from Admin Tab ->Departments->Click on the "More Menu" icon of the given Department or Sub-Department Field->Select "Delete" option & Confirm for deletion on the pop up.

Where can I see a list of all Departments available for update in employee profiles?

To see the list of Department or Sub-Department, an admin can see it from Admin Tab ->Departments->It will load the lists for both. Select More Menu icon for the actions like "Edit/Delete"

From where should I drop a Department?

To drop/delete a Department or Sub-Department, Administrator should go to Admin Tab ->Departments->Click on the "More Menu" icon of the given Department or Sub-Department Field->Select "Delete" option & Confirm for deletion on the pop up window.

How do we know how many people are working in a particular department?

Administrator can view this from Admin Tab ->Departments->Select Sub-Department under a Department->It will load a list of the Sub-Departments along with the number of employees working under it. If no employee has marked it; "No employees to show" message gets displayed.

Can I see a Department wise summary of People working in?

Administrator can view the count of employees working under from Admin Tab ->Departments->Select Sub-Department under a Department->it will load a list of the Sub-Departments along with the number of employees working under it. If no employee has marked it; "No employees to show" message will be displayed. Number of other reports like Attendance Report also shows the Department & Sub Department wise employees attendance for every day.

Is it possible to change an existing department’s name in WorkApps admin account?

Yes! To update a Department or Sub-Department, Administrator can do this from Admin Tab ->Departments->Click on the "More Menu" icon of the given Department or Sub-Department ->Select "Edit" option and update the name.

Can I drop/delete an Office address from Admin-where multiple employees are already marked?

When you drop an office entry; the entries into the Field "Office Address" in the employees’ profile will be cleared & the Office address gets removed from the list of Office in the Admin Tab

How do I enable Video Calling feature for an employee?

To enable the Video Calling ability for an employee; and Admin should go to Admin Tab->Select the employee -> Click on the "More Menu" icon of the employee record->select Enable Video option. To disable it back follow the same steps; this time the option would be "Disable Video"

The organisation level setting is enabled for availing this feature. To enable it go to Admin->Settings-> Locate the "Allow Guest Users to Upload Files" Setting->Slide the bar towards right to enable it. 

Can I restrict Organisation employees to restrict files with guest users in WorkApps Enterprise Chat Account?

To disable it go to Admin->Settings-> Locate the "Allow Employees to share files with Guest Users" Setting->Slide the bar towards left to disable it. 

Why can’t employees enable their public profiles for Search Engine Results?

To disable it go to Admin->Settings-> Locate the "Show Employee Profiles in Google Search Results" Setting->Slide the bar towards left to disable it. 

What are the main components of Location services configuration in WorkApps Enterprise Chat?

GPS Locator, Trip Manager & Digital Attendance. All these features get enabled when the "Location Services" get enabled in an organisation WorkApps Enterprise Account. To enable it go to Admin->Settings-> Locate the "Location Services" Setting->Slide the bar towards right to enable it.

What’s available in WorkApps GPS Location services?

GPS Locator, Trip Manager & Digital Attendance are 3 main elements under Location Services feature. All these features are enabled when the "Location Services" get enabled in an organisation WorkApps Enterprise Account. To enable it go to Admin->Settings-> Locate the "Location Services" Setting->Slide the bar towards right to enable it. 

Which are the search engines supported by WorkApps enterprise account for public Guest Chat links to appear in search results?

When the Public Guest Chat link gets activated; cloud version of WorkApps will create a link in the sitemap.xml in the web app; the sitemap.xml is supported by all major search engine crawlers like Google, Bing & Yahoo etc. The Public Guest Chat link is SEO friendly and when enabled for org and the employee profile, becomes available for search within 10 to 15 days’ time depending upon the search engine algorithm. It is important that the Designation, Role, Company office where the employee is working is all important for submission of the profile.

How to enable Organisation Employees’ public guest chat links to appear in search engine results?

As an employee to control the Guest Chat link’s availability for the search engine, user can control that from his/her profile page. To enable it go to Status-> Locate the "Guest Chat Link"-> Slide the bar towards right to enable it. 

Can I allow/disallow Organisation Employees to share recorded videos publicly over a URL?

The organisation level setting should need to be enabled for availing this feature. To enable it go to Admin-> Settings-> Find the "Video Calling" Setting-> Slide the bar towards right to enable it. For employee level setting go to employees tab and then locate the employee and enable his Video calling further.

How do I add "On Field Employees" in WorkApps Enterprise Chat Account if they don’t have email IDs?

Go to Admin->"Employees (Mobile)" tab->Download the template -> Add all the emails in a single column & submit the .XLSX file. Remember there are two types of employee accounts that you can create; Employees using mobiles also called as "Mobile Workforce" OR Employees using Desktops. Upload them separately through different tab. The upload templates are available separately for download on the respective Sub tabs.
