How do I send a few OR bulk invites to the employees of my organisation?
An admin can do this from Admin Tab ->Employees->Add Employees ->Add each account separately or Import using an excel template for sending invitations in bulk. For the upload, use the template "Add Multiple Employees Template.xls" that is available for download on the same tab. Only emails in the first column of the excel file. No heading required for the column.
For Field teams and employees using Mobile devices, use the template from Admin Tab ->Employees->Add Employees(Mobile) sub Tab -> "Add Multiple Employees Numbers Template.xls" that is available for download on the same tab. Enter Country code, mobile numbers & Employee names. No column heading required.
When I am adding a new employee from the Admin->Employees sub tab; am getting an error that the "Invitee is already a part of some other Organisation". What could be the solution?
The employee that you are trying to invite is already registered on WorkApps in some other organisation. Have him removed from the existing registered account. Then you can have him/her onboard with the same email id.
When I am adding a new employee from the Admin->Employees sub tab; am getting an error that the "XXXXXXX@XXX.XXX is already a part of your contacts". What could be the solution?
This means that the employee that you are trying to invite is already registered on WorkApps in your own organisation. Search for the name in the Admin -> Employees OR Employees (Mobile) sub tab -> to confirm. You won’t need to re-invite it if the registered account is already in use.
If an email was used in the past and is being re-used; and you want the new employee to continue to use it, have him/her reset the password & un-lock the account if it is locked. Remember if the account is re-used by new-employee, the past conversations/history of group chat/memo all will be available for new employee.
While sending invitation to multiple employees by uploading an excel file I am getting an error "XXXX Email IDs invalid"?
That means that the email cannot be validated due to wrong format, invalid email etc. If there are multiple emails which were uploaded; wrong email Id will NOT be sent invitation email. All valid emails from the same bulk excel file will get the Invitation. Ensure that the email ids do not have trailing and leading spaces in the excel column. The symbol "@" must be there in each and every email.
Clicking on Invitation is giving me an error "The Link has expired" what should I do to complete my registration?
This means an invitation sent to the user has expired. The admin needs to re-send the invitation for the employee to complete the registration.
Why can’t I see an employee in my Contact List, whom I’ve invited in the past?
Ensure that the employee has completed registration process by clicking on the invitation link and then updating the profile, if not; please re-send the invitation from Admin -> Employees tab. Have employee check his Spam Folder. Ensure that the new user gets invitation email. Even after all these steps employees do not find the activation link; please get in touch with TechSupport@workapps.com
An employee of my Organization didn’t get the Invite to complete registration; how do I go about?
Ensure that the employee has completed registration; if not; re-send the invitation from Admin -> Employees sub tab / Employees (Mobile) sub tab. Have employee check his Spam Folder. Ensure that the gets the email. Even after all these steps employees don’t get the activation link; get in touch with TechSupport@workapps.com
Where do I download the total number of employees and their usage report of the WorkApps Accounts?
Go to Admin tab -> Reports sub tab in the right hand corner -> a report for all the months is available here -> select the month and year
For which you need the report for. -> Click on "Generate Report" button -> Reports gets displayed
Where can I find if a co-worker has completed the registration or NOT?
All Pending and Ignored Invitations are available in WorkApps Account -> Contacts Tab -> Pending Invitations OR Ignored Invitations sub tab.
How does the billing work for active users registered in my Organisation?
Go to Admin tab -> Reports sub tab in the right hand corner -> a report for all the months will be displayed on the page -> locate the month and year
For which you need the report for -> Check the Registered Users Column for the number of Users registered under your organisation account.
An employee didn’t get the WorkApps Enterprise Account Invitation to register? What are the things to check?
There are multiple reasons for the invitation email DO NOT reach inbox. These are the things to check for:
- Search for the email in your inbox.
- The subject line of the Invitation email is "Invitation to Join <YOUR COMPANY NAME> Enterprise Group on WorkApps"
- It is sent from an Amazon SES account from firstname.lastname@example.org
- Invitation expired. Have the Admin resend the latest one
- Email filtered out to a SPAM Folder. Check the SPAM or Junk folder
- Organisation Security policy NOT allowing the Amazon SES to deliver it your inbox. Request your Organisation’s Network team change the filter mail Client Server.
Where do I check "How many Users registered? / How are employees using the WorkApps Enterprise Chat accounts" daily?
If you are and admin of your Organisation’s WorkApps Enterprise Chat account; Go to Admin tab -> Click on Reports sub tab in the right hand corner -> a report for all the months will be displayed on the page -> locate the month and year for which you need the report for -> Check the report; it will display the day wise split of all the required details like, new users registered, active users, Chats, Total Video Calls recorded & Total files shared etc.
