Guest Group Chat

What is Guest Group Chat? How do I create one?

Guest group chat is a feature where a guest user can chat with a WorkApps Registered User. The Guest user, as the name suggests doesn’t need to download any app; just need to login to a Public Guest Chat URL specific to an internal organisation group OR registered employee with just entering a unique identifier/name and start conversation over a video or a text messaging. The videos & chat history gets recorded for future reference. To Create a Guest Group Chat Go to + New button in your WorkApps Enterprise Chat Account->you will default load on Group Chat sub tab->Enter the Group Chat Name->Select Admins for this group; admin will be able to update the Group Chat name, Admin , Members & make it public or private->Turn on the "Enable Guest Users to join this Group Chat" to allow external entities to access this group by using a unique link assigned to it->Click on "Create Group Chat" and you will land on the Guest Group Chat window-> copy Public URL of the Group Chat from the system message inside the chat window-> Share it with Guest Users to let them take part.

How can we as a team answer in a Guest Group Chat for a single customer? Can anybody from my sales team respond to queries raised by a proposed customer if a conversation is initiated with me?

Yes! That’s one feature used for multiple purposes like sales queries, customer support, lead generation etc. To create one such "Group Chat", click on +New button->enter employees one by one into Admin and Members area by selecting them-> Enable the "Enable Guest Users to join this Group Chat" option-> Click on Create Group Chat button-> From the Group Chat window, copy and share the public URL with the Guest. All of the internal employees marked in Admin and Members areas would be able to respond in the Guest Chat group to Guest’s queries.

How can I enable the Guests to join the Group Chats?

To create one such "Group Chat", click on +New button->enter employees one by one into Admin and Members area by selecting them-> Enable the "Enable Guest Users to join this Group Chat" option-> Click on Create Group Chat button-> From the Group Chat window, copy and share the public URL with the Guest.

To enable the existing Group Chat -> Click on the More menu Option for the Group Chat Window on right hand top -> select "Edit Group Chat" -> Turn on the setting for "Enable Guest Users to join this Group Chat" -> Slide the bar towards right to enable it.

Why a Guest User gets messages that the "This browser & Device combination, does NOT support our chat…." Message when it opens the link?

The user lands on the page stating that the Browser and OS combination is NOT supported due to a non-compatible browser use for Group Chat by the Guest. The supported Operating System & Browser metrics is as follows:

Windows 7 or 10:  Google Chrome version 65 & above, Firefox version 65 & above

Android: Google Chrome version 65 & above,

iPhone: Safari version 12.0 & above

Mac: Google Chrome version 65 & above, Safari version 12.0 & above

What should a Guest User do to continue on to a Group Guest Chat when it gets a message "This Browser & Device combination does Not support.." message?

Just have the guest user switch to the right browser on given Operating System on his device. Below is the supported browser on OS you are using.

Whom should a Guest Group Chat member request a change in it. Who is the admin of the Guest Group Chat?

Only admin can change Group Chat configurations. You can identify the admin by a Member with a Gear icon on his profile image in the member’s area when you go to -> More Menu Icon on the Group Chat -> click on options -> View Participants -> Contact Profile with a Gear icon on it are admins and Contacts with "G" is the Guest User.

Can I add an employee from different organisation in a Guest Group Chat?

Yes you can!

What is the order of the Chat windows?

By default the order of the Contacts is alphabetical. The contacts are listed in a manner; with the first chat window opened on top. As and when a new conversation starts; loads just below the first opened. All recently closed window appear one by one after it. The following list is the alphabetical order of all rest of the contacts.

Does the new Group Chat window just created appear last in the order?

By default the newly created group chat window appears last (After all of the opened windows).

How do I search for a "Guest Chat" for a reference?

Select Chat app from the left panel folder list, below the Contacts’ List, in the search box enter the name of the Group Chat you want to search for. Ensure you enter the same order of the words while searching.

Is it possible to put some validation in the guest sign-up process?

Yes! You can put validation while allowing a guest to get into a conversation. Validation would be an Application Number assigned to him/her, mobile Number etc. so that the uniqueness is maintained for future reference.

How to differentiate between a Group Guest Chat and a Contact Chat in the Contact’s List?

It is a possible to differentiate between them both. In the View Participant’s window a Guest User icon would have a letter "G" on it.

Can I add a contact; that is in my Contact’s list but not my Organisation’s Employee, into a Guest Chat group?

Yes you can add it. The contact can be from a different organisation.

If I add a new employee to a Guest Group Chat; will the new user be able to see the old history of the group?

Yes! He can see all the history from day one.

I am a new user added into Guest Group Chat; where can I see the Group formation date?

Yes! He/She can see all the history from day one of the Group Chat formation even if added later into the conversation.

How to close a Group Chat?

If you are an admin of the Group Chat you can go to Group Chat Window -> More Menu icon -> Select Close Group Chat

What is the meaning of "This Group Chat is Closed" Can I add comments in a closed Group?

When a Group is closed; conversation are not allowed in it. However if somebody needs to remove it from the Chat Windows he/she can, just in case if something needs to be referred in the future; let it be there for available under search and do NOT click on More menu icon of the Group Chat Window -> More Menu icon -> Select Remove Group Chat. Once it is removed it won’t be available under search or List.

How can I "View the Participants" of group and add or remove them?

On the Group Chat window-> Click on More Menu icon -> Click on "View Participants" to just view the participants.

If you are an admin of the Group Chat you can go to Group Chat Window -> More Menu icon -> First you will have to "Edit Group Chat" & then -> Update the members.

Why can’t I see "Remove Group Chat" Option when clicked on More Menu on a Group Chat? I don’t want to visit the Group Chat again as the purpose is over.

If you are an admin of the Group Chat you can go to Group Chat Window -> More Menu icon -> First you will have to "Close the Group Chat" & then -> follow the same steps Select "Remove Group Chat?

What is Public Group Guest Chat?

It is a Group Chat where a Guest can have conversations with the Organisations Employees in a Group. The Guest Group Chat link can be accessed by on the internet when shared. It is ideally used for many use cases; one of the use cases is by the sales people who want to discuss product propositions with the a proposed customers. Customers don’t need to download any app or Register with their sensitive data to chat with the Organisation Enterprise Account user.

How do I close a Guest Group Chat? What happens to the public URL after the group is closed?

If you are an admin of the Group Chat you can go to Group Chat Window -> More Menu icon -> Select "Close the Group Chat". The other participants (members and admin) can still view all the conversation in the Guest Chat Window. But nobody will be able to upload files, add comments to. If the other users also need to remove it; they can Remove it by going to Group Chat Window -> More Menu icon -> Select Remove Group Chat. Once removed, won’t be available under search or Contact Chat List.

What happens to the ongoing conversations if a Group Chat is "Closed" and a few guests are already having active conversations on threads started on the Group Guest Chat URL?

No new Groups will be created using the Public Guest Group Chat. The Ongoing group chats will continue to live.

Yes! You can Share the Public Guest Link

Can a Notification for a Group Chat message is sent to all participants of that group?

Yes! The notification is sent to all of the Participants of the Guest Group Chat.

Who can do a Video call with a Guest user if there are multiple Organisation Employees in a Public Guest Chat?

Any participant of the Group Chat can start a video call with the Guest User.

Who can see the recorded Chat History or a Video Recording in Guest Group Chat?

Any participant of the Group Chat can start a video call with the Guest User.
